Set-Up Details
Set-Up Time: 8:00 AM – 9:30 AM
Important: Please do not arrive before 8:00 AM. Early set-up will not be permitted.
Booths must be ready by 9:45 AM. The show opens promptly at 10:00 AM.
"Booth assignments and unloading instructions will be emailed to all registered vendors prior to the event. No need to contact us for your booth location — we've got you covered!"
The Holiday Gift Fair will be held at the High School, with vendor booths located in the middle school gymnasium, cafeteria, and hallways.
Before the event, all registered vendors will receive an email with your:
Assigned booth location
Recommended entrance for unloading
Parking instructions
Check-in information
Please watch your email for these important details as we get closer to the event. Expect this email by Nov. 5th.
To make setup as smooth as possible, vendors will be directed to the entrance closest to their assigned booth.
Unload your merchandise at your designated entrance.
Once unloaded, please move your vehicle to the vendor parking area identified in your email.
Keep unloading areas clear for other vendors.
Please bring your own cart or dolly to help transport your merchandise.
Unloading Assistance: Vendors should plan to unload and set up their own booths.

Booth Information
Booth Sizes:
Small: 6' x 6' $45
Medium: 8' x 8' $50
Large: 8' x 10' $65
Vendors must bring their own tables and chairs.
If you need electrical, there is a $5 electrical option available.
Please stay within your assigned space and be respectful of neighboring vendors.
10:00 AM – 3:00 PM
Vendors are expected to remain set up until after 3:00 PM. The event is well attended right up to closing time.
Each vendor is asked to donate one item for raffle drawings held during the event.
Please include information about your business and items so we can highlight your booth during winner announcements.
Raffle tickets and Annual Light Up the Night Soup Tickets will be sold at the entrance. The soup event will take place Saturday, December 5th in downtown Bellaire. Tickets sell out quickly!
The Bellaire Chamber is not responsible for theft, damage, or accidents. Vendors are responsible for their own exhibits and for collecting/remitting sales tax.
A booth refund minus a $5 service fee is available up until 1 week prior to the event date.
