Job Description
GENERAL PURPOSE
The Part-time Marketing & Event Coordinator supports the Executive Director with the mission and
impact by providing administrative support and event planning. This position works under direct
supervision of the Executive Director and is a role model for excellent customer service in all aspects as
well as setting an example for a team – like environment.
Position: Part-time, FLSA exempt
Hourly Rate: $15-$18.00 hour, depending upon relevant experience.
Hours: 20-25 hours/week, combination of office and work from home hours. generally,
between 9am – 2pm. Some weeknight and weekend work required for events/meetings.
Reports to: Executive Director (or their designee)
Supervises: None
Works with: Executive Director, volunteers, community members, board of directors, event and
program participants, local media, and the public.
RESPONSIBILITIES AND DUTIES

Communications and Engagement
• Ensures excellent quality service and communication in person, via telephone and email
communications and through direct mail to membership, local citizens, businesses and visitors.
• Assist the executive director, board of directors and committee chairs to assure overall success
of the chamber.
• Work with the director to sustain and grow programs and services.
• Works with Executive Director in the management, operation, and marketing of the Bellaire
Chamber of Commerce. Helps insure that all operations are conducted in an efficient, orderly
manner and that the utmost customer service is exercised in all ways with customers, visitors,
citizens, fellow departments/staff, and the administration of the Chamber of Commerce.
• Assists the Executive Director, Chamber Board and other volunteers to achieve the board goals
and objectives.
• Actively function in promoting membership development and retention as well as member
services and area and small business development.
• Fulfill duties delegated by director, coordinate special projects as assigned.
• Attend committee meetings as assigned.
• Represent the organization to the public, current members, and prospective members to grow
relationships, increase sponsorships and attendance.
Volunteer Program Lead
• Recruits, communicates with, and manages volunteers for Chamber events and other volunteer
needs.
• Manages volunteer database and makes entries.
Administrative:
• Handles incoming and outgoing phone and electronic messages. Routes incoming calls and
emails to the appropriate party quickly and efficiently.
• Monitors and orders to maintain adequate levels general office supplies for the Chamber office.
• Various marketing duties as directed.
• May assist with other office duties as needed.
Events:
• Coordinates logistical activities for all events and festivals.
• Event responsibilities include, but are not limited to, attendance, marketing and increasing
participation.
• Assists in various programs and events such as Rubber Ducky Festival, Harvest Festival, Small
Business Saturday, Holiday Gift Fair, Light Up the Night, Art in Ice, Annual Dinner & Auction,
Business After Hours, Annual Membership Drive, Ribbon Cutting, Educational Workshops,
Destination Bellaire Marketing and any others as assigned.
Membership & Development:
• Assist with Membership Marketing materials. Must have and maintain basic and current
knowledge of the businesses and communities of Bellaire and Antrim County.
• Update database, website, and accounting of members.

Requirements:
• High School diploma with excellent academic performance; associate or bachelor’s degree
preferred, ideally in a natural resource, marketing, or business field
• Proven experience coordinating and event planning festivals and networking events.
• Ability to effectively communicate through written materials and public speaking.
• Proficient in MS office and knowledge of modern office practices and procedures including mail
mergers and database management.
• Experience of print and online marketing.
• Adobe Photoshop and Illustrator experience.
• Knowledge of WordPress CRM websites is a bonus.
• Must have the ability to interact with the public and fellow employees in a tactful and pleasant
manner and must be able to handle stressful situations.
• Excellent communication skills are necessary not only to communicate with clients and fellow
staff, but also, at times, general citizens regarding ability to explain the Chamber of Commerce
and the program and services in writing and verbally.
• Position requires excellent skills in the techniques of gathering and presenting information and
data. Successful management of multiple tasks and duties simultaneously is essential.

The primary workplace is in a typical office setting at the Bellaire Chamber of Commerce office.
